How to keep a property repair history

A clear repair history helps you plan maintenance, answer tenant questions and show what was done and when.
Keep records by property
- Group repairs, safety checks, certificates and invoices under the property they relate to, and the room or appliance where relevant.
Record each job consistently
- What the problem was, when it was reported and by whom.
- Who attended, when, and what they found.
- What work was done, when it started and when it was completed.
- Cost, invoices and any certificates.
- Any follow-up needed.
Keep communications with the job
- Store messages with the tenant and contractor alongside the repair rather than in separate inboxes.
Don't overwrite history
- Add new entries rather than editing old ones, and record why a key date changed.
Plan recurring maintenance
- Schedule recurring tasks such as boiler services and gutter clearing so the next one is set when one is completed.
